FUNCTIONAL DESCRIPTION
- To manage all administrative matters, encode all data and consolidate all reports from field operations on a daily and/or monthly basis required by his/her Group/Division
DUTIES & RESPONSIBILITIES
Principal Responsibilities
- Encoding of all administrative and operational reports submitted by the Account Manager and/or Area Coordinators (PSD/ICB)
- Verifies all reports
- Validates all reports
- Consolidates and summarizes all reports in all regions
- Submits all consolidated reports
- Extraction in the backend for the Trade Marketing App
- Update of the AREA/MERCHANDISING/OUTLET DATA BASE and OUTLET INFORMATION SYSTEM. (“planogram” of individual supermarkets/traditional outlets)
- Updates/collates Monthly Coverage Plans (MCP’s) for Account Manager and/or Area Coordinators (PSD/ICB)
Merchandising and Reportorial Responsibilities
- Ensures other required reports are submitted on time
Filing, Receiving and Safekeeping of all Internal and External Correspondence, Reports and maintenance of same on their INDIVIDUAL FILES:
- Filing/Update of inventory of stocks, equipment, POS and POP materials
- Safekeeping and issuance of Merchandising Supply/Equipment/Cost as per need by the Area Coordinators (PSD/ICB)
Office Maintenance
- Ensures cleanliness and orderliness of the office
Office Manager
- Acts as Office Manager in the absence or whenever his/her immediate Supervisor is out of the office
Key Performance Indicators
- Accurate encoding of all reports and data, consolidation and extraction of Trade Marketing App reports
- Availability of all consolidate reports when required needed either daily, weekly or monthly
- Must be able to submit requirements on or before deadlines especially with reports
- Should be able to keep important files securely
- Should be able to establish good relationship with internal and external interfaces
CONFIDENTIALITY
- Maintain the secrecy of any proprietary information such as marketing, operations plans, report template, and the like.
COMPETENCE REQUIREMENTS SKILLS REQUIRED
- Must be a college graduate
- Age Requirement: At least 22 – 24 years of age
- Good communication skills in both English and Filipino
- Very good in interpersonal skills (sociable, approachable, polite, accommodating, customer and people-oriented)
- Must be computer literate (Powerpoint, Word, Excel, E-mail, Pivot, Slicer and other shortcut methods)
- Well organized
- Can work under constant pressure
- Willing to work on long hours
- Positive work attitude
- Should have their own mobile phones (Minimum of Android V8 or higher) to install the Trade Marketing App
