FUNCTIONAL DESCRIPTION

  • To manage all administrative matters, encode all data and consolidate all reports from field operations on a daily and/or monthly basis required by his/her Group/Division


DUTIES & RESPONSIBILITIES

Principal Responsibilities

  • Encoding of all administrative and operational reports submitted by the Account Manager and/or Area Coordinators (PSD/ICB)
  • Verifies all reports
  • Validates all reports
  • Consolidates and summarizes all reports in all regions
  • Submits all consolidated reports
  • Extraction in the backend for the Trade Marketing App
  • Update of the AREA/MERCHANDISING/OUTLET DATA BASE  and OUTLET INFORMATION SYSTEM. (“planogram” of individual supermarkets/traditional outlets)  
  • Updates/collates Monthly Coverage Plans (MCP’s) for Account Manager and/or Area Coordinators (PSD/ICB)

Merchandising and Reportorial Responsibilities

  • Ensures other required reports are submitted on time


Filing, Receiving and Safekeeping of all Internal and External Correspondence, Reports and maintenance of same on their INDIVIDUAL FILES:

  • Filing/Update of inventory of stocks, equipment, POS and POP materials
  • Safekeeping and issuance of Merchandising Supply/Equipment/Cost as per need by the Area Coordinators (PSD/ICB)

Office Maintenance

  • Ensures cleanliness and orderliness of the office

Office Manager

  • Acts as Office Manager in the absence or whenever his/her immediate Supervisor is out of the office

Key Performance Indicators              

  • Accurate encoding of all reports and data, consolidation and extraction of Trade Marketing App reports
  • Availability of all consolidate reports when required needed either daily, weekly or monthly
  • Must be able to submit requirements on or before deadlines especially with reports
  • Should be able to keep important files securely
  • Should be able to establish good relationship with internal and external interfaces

CONFIDENTIALITY

  • Maintain the secrecy of any proprietary information such as marketing, operations plans, report template, and the like.        


COMPETENCE REQUIREMENTS SKILLS REQUIRED

  • Must be a college graduate
  • Age Requirement: At least 22 – 24 years of age
  • Good communication skills in both English and Filipino
  • Very good in interpersonal skills (sociable, approachable, polite, accommodating, customer and people-oriented)
  • Must be computer literate (Powerpoint, Word, Excel, E-mail, Pivot, Slicer and other shortcut methods)
  • Well organized
  • Can work under constant pressure
  • Willing to work on long hours
  • Positive work attitude
  • Should have their own mobile phones (Minimum of Android V8 or higher) to install the Trade Marketing App
